Please read these terms carefully before booking a tour with us

These Terms and Conditions apply to all tours, pilgrimages, and travel services booked with Orchid Vacations or Brahma Holidays (together, "we", "us", "our"). By making a booking with us, you agree to the terms below. For cancellation-specific terms, please see our Refund Policy.
A booking is confirmed only once the advance amount communicated to you at the time of enquiry is received. The balance payment must be cleared before the payment deadline shared with you, which is typically before departure — exact timelines vary by tour and will be confirmed in writing.
Unless explicitly mentioned in your itinerary, the quoted tour cost does not include airfare, train fare, visa fees, travel insurance, or personal expenses. Any fare revisions by airlines or railways between booking and travel are payable by the traveler.
Travelers are responsible for carrying valid identification, tickets, and (where applicable) visas and travel insurance. Please verify all travel and transport timings independently before departure.
We make every effort to follow the planned itinerary. Minor changes to routes, timings, or accommodations may occasionally be necessary due to weather, local conditions, or circumstances beyond our control. Where a change involves additional cost, this will be discussed with you before being charged.
If a tour cannot proceed as planned — for example due to insufficient group size, weather, or events beyond our control — we will offer you a full refund of amounts paid for that tour, or the option to reschedule. We are not liable for any other compensation in such cases.
Accommodation is provided on a twin-sharing basis unless otherwise specified, in the category of hotel mentioned in your itinerary. Personal expenses such as laundry, mini-bar, and additional food or beverages are payable directly by the traveler. Meals not specified in the itinerary (including on flights or trains) are not included.
On group tours, all travelers receive the same standard of service unless a special requirement has been communicated to us in advance. We expect all travelers to follow the guidance of our tour coordinator regarding timings and group activities, out of consideration for fellow travelers. We reserve the right to ask a traveler to leave a group tour, without refund, if their conduct seriously disrupts the experience of others.
Travelers are expected to be medically fit for the physical demands of their chosen tour, particularly pilgrimage routes involving travel at altitude or extended walking (such as Char Dham). Please inform us of any medical conditions or mobility requirements before booking so we can advise accordingly.
We coordinate with hotels, transport providers, and other third parties to deliver your itinerary, but we are not liable for their acts, delays, or service failures, nor for loss, injury, illness, or damage to baggage during travel, except where caused by our own negligence. We recommend travelers carry adequate travel insurance.
We may photograph or video group tours for use in our marketing materials and on this website. If you would prefer not to be included, please let your tour coordinator know at the start of the trip.
We are not liable for delays, changes, or cancellations caused by events beyond our reasonable control, including natural disasters, extreme weather, strikes, government restrictions, or political unrest. Where such events require route or itinerary changes, our tour coordinator will use their best judgment to keep the group safe.
If you're unhappy with any aspect of your tour, please raise it with your tour coordinator immediately so we can try to resolve it during the trip itself. Any complaint not raised during the tour should be submitted to us in writing within 7 days of your return.
These terms are governed by Indian law, and any disputes will be subject to the exclusive jurisdiction of the courts in Mumbai.
